How to use this free invoice generator

  1. Enter your business info. Your name or business name and email are required so the client knows who to pay.
  2. Add your client. Name and email are required. Address fields are optional and only show on the PDF if you fill them in.
  3. List your line items. Description, quantity, and rate. The amount calculates automatically.
  4. Set tax (if needed) and add notes. Tax rate is a percentage. Notes are good for payment terms or a thank-you message.
  5. Click Generate PDF. Your invoice opens in a new tab and downloads to your computer.

What every invoice should include

  • A unique invoice number. Helps you and your client track payment.
  • Issue date and due date. Standard payment window is 30 days; pick what works for your business.
  • Your business name and contact info. So the client knows where the invoice came from.
  • The client's name (and address if formal). Some clients require a business address for accounting.
  • Itemized list of work performed. Description, quantity, rate, and line total for each item.
  • Subtotal, tax (if applicable), and total. Make the amount due unambiguous.
